Strengthening Grant Management: Reflections from the COST Grant Holder Workshop
I recently had the opportunity to attend a COST Grant Holder Workshop as part of my work supporting the CROSS-CASCADES COST Action. The training brought together Grant Holder Managers from different COST Actions and provided a valuable opportunity to strengthen our understanding of the administrative, financial and operational responsibilities involved in managing an Action.
The workshop focused strongly on the practical application of COST rules. We discussed topics such as participant eligibility, travel reimbursement, supporting documents, financial procedures and the use of the e-COST system. These sessions were particularly useful because they helped connect the formal rules with situations that Grant Holder Managers regularly encounter in practice.
The hands-on training also improved my understanding of how to review reimbursement claims, identify missing or unclear documentation and ensure that requests are processed consistently. This is important because participants often travel under different circumstances and may submit different types of documents. Applying the rules correctly while also communicating clearly with participants is therefore a central part of effective grant management.
Another valuable aspect of the workshop was the opportunity to exchange experiences with other Grant Holder Managers. Participants openly discussed common challenges, shared practical solutions and explained how they organise their workflows. Learning from colleagues who have dealt with similar situations was reassuring and gave me useful ideas for improving the way administrative tasks are handled.
The knowledge and experience gained from this workshop will directly support my work with CROSS-CASCADES. It will help me provide clearer guidance to participants, manage reimbursement procedures more efficiently and contribute to the smooth organisation of future meetings, workshops and other Action activities.

I am also grateful to the other participants for sharing their experiences so openly. The workshop increased my confidence in carrying out my responsibilities and highlighted how important effective grant management is for the overall success of a COST Action.
